GENERAL INFORMATION

What is the driver's license validation function?

The driver's license validation functionality presents a mobile way of presenting your driver's license to rent out company cars. Based on a NFC tag glued to the license the phone can be used to update the last verification date in the internal fleet management system FIPS. This presents an easy way to validate an employee's authorisation to use a vehicle for all services connected to FIPS.

How can the driver's license validation be used?

To use the feature, you need a NFC tag from the driver's license verification office (e.g. at FIZ) glued to your driver's license. Download the Urby app from the BMW App Catalog onto your iPhone to use the feature and register. With an active Urby account, no additional registration is required.

Where can I find the Urby app?

The Urby app is available via the business mobile phone in the BMW App Catalog.

Is it necessary to register via the Urby app?

Yes, a one-time registration via Urby is necessary to use the driver’s license validation. An additional registration is not required.

For what purposes can the license validation be used?

The driver's license validation feature is connected to the Fleet Information and Planning System (FIPS). The functionality can be used for all vehicle renting services, such as renting a car for a business trip, which requires a recurring presentation of valid driving permission and is managed within FIPS.

When can I do the validation?

The functionality can be used at any time on any day.

Who can use the driver's license validation?

Anyone registered within FIPS (an initial login is required) and with an NFC tag glued to his driver's license can use the functionality.

Can external employees use the driver's license validation?

Yes, if they are onboarded to the BMW systems and fulfil the requirements of "Who can use the driver's license validation"?

Where do I get the NFC tag?

The NFC tag can be obtained where you usually go to present your driver's license. MORE INFO TO FOLLOW.

DRIVER'S LICENSE VALIDATION

What do I need to use the functionality?

You need a company phone, a NFC tag attached by BMW to your driver's license and the Urby app with a registered account.

How can I validate my driver's license?

Download the Urby app on your iPhone and register. You will see the icon of a driver's license on the right site within the header of your home screen. Click on the icon to see a screen that states when you last presented your license. You can start the process by clicking "Start scan". When the scanning animation is shown, hold the upper part of your phone very close to the NFC tag. The animation should change into a success symbol. After successfully reading the tag, the data is sent to FIPS to be verified. You should see a success message and a green checkmark stating that the last verification date in FIPS was updated. To check you can login to fips.bmwgroup.net go to "My data," and then "Edit data" to see the new date under "Last verification of drivers license".

How often do I need to repeat the license validation?

That depends on the service and fleet you want to rent a vehicle from. A typical interval is six months, but it might differ depending on your location and the service you want to use.

Can I use the functionality directly before picking up a vehicle?

As long as you have the tag and are registered within Urby, you can use the app from anywhere you have an internet connection. It is recommended to validate your driver's license in advance in case of any technical issues at the time of pick-up.

What does it mean if I see `No existing validation`?

This signalises that there is no data in the Fleet Information and Planning System (FIPS) about a driver's license presentation in the past. It typically means you must visit a driver's license verification point to present it for the first time. Typically, you must present it at a driver's license verification point to obtain an NFC tag.

Can I use the driver's license validation functionality if I see `No existing validation`?

You will most likely need to go to a driver's license verification point to obtain your NFC tag. If you already have an NFC tag obtained from BMW and which is registered in the Fleet Information and Planning System (FIPS) (i.e. you have a value under "Drivers license RFID"), you should be able to start the process within the app.

Why can it happen that the license could not be revalidated?

If you see the message that your driver's license could not be revalidated, it might be a problem with your phone's internet connection or a technical error in the communication to the Fleet Information and Planning System (FIPS). Please make sure you are connected to the internet and test again. If the error message comes again, please wait a while and retry later.

Why is my tag not recognized?

If you have a correct tag obtained from BMW and it is not recognized, it might be due to a chip or phone problem. Remove any cases or covers from your phone and change where you connect your phone to the tag. If the problem stays, most probably, your tag is damaged. To check if your tag is not working, you can try to revalidate your license on the key boxes which contain an NFC reader.

DATA PROTECTION

Where can I find information about data protection?

You can find legal information about data protection under the following link: (Data protection).

What information from me will be collected?

The functionality is based on the information stored in the tag (a unique ID of the tag) and your Q-number. The tag ID is scanned with your phone, and the Q-number is collected from your Urby account. Both information and the current time are transferred to the Fleet Information and Planning System (FIPS) to verify that the tag ID is the correct one registered for your account.

Will the information be stored?

Urby does not store any of the collected information. If you have presented your driver's license before, no additional data is stored within the Fleet Information and Planning System (FIPS) only the date of your last verification is updated.

Will any information from my driver's license be collected?

No, the app only reads the NFC tag attached to the driver's license. No data from the actual license is collected, processed or stored.
